Terms of Service

1. Service description

Recolect is an AI-powered candidate assessment platform operated by Trinnovo Group Ltd. The platform enables recruitment organisations to create tailored candidate assessments, distribute them to candidates via magic links, and receive competency scores and narrative reports. These terms govern your access to and use of the Recolect platform and any related services.

2. Account responsibilities

You are responsible for:

• Maintaining the confidentiality of your account credentials
• Ensuring that all users accessing the platform under your account comply with these terms
• Obtaining any necessary consents from candidates before submitting their details to the platform
• Notifying us promptly at hello@trinnovo.com if you believe your account has been compromised

3. Acceptable use

You may use Recolect only for lawful recruitment and assessment purposes. You must not:

• Use the platform in a way that discriminates unlawfully on protected characteristics
• Submit assessment data for any purpose other than evaluating candidates for genuine roles
• Attempt to circumvent, reverse engineer, or interfere with the platform or its AI systems
• Share magic links or assessment access with parties not involved in the hiring process
• Use outputs from the platform to make fully automated decisions without human review

4. AI generated content

Assessment questions, competency scores, and narrative reports are AI generated or AI assisted. All reports are labelled to indicate AI provenance. You acknowledge that:

• AI outputs are drafts intended to assist human decision-making, not to replace it. A qualified person must review all reports before they are used in a hiring decision.
• Recolect does not guarantee that AI generated content is free from error. You are responsible for reviewing outputs before acting on them.
• AI generated assessment questions are unique to each brief and role. Recolect does not warrant that they will be exhaustive or that they will surface all relevant information about a candidate.

5. Data protection

The collection, processing, and storage of personal data is governed by our Privacy Policy at /privacy. You act as a data controller for the personal data of candidates you submit to the platform. Trinnovo Group Ltd acts as a data processor on your behalf for those purposes. A data processing agreement is available on request.

6. Intellectual property

All intellectual property rights in the Recolect platform, including software, design, and underlying AI systems, are owned by or licensed to Trinnovo Group Ltd. You retain ownership of any job descriptions and briefs you submit. Narrative reports generated from your briefs and candidates may be used by you for legitimate recruitment purposes. You may not reproduce, redistribute, or commercialise platform outputs outside of their intended use without our written consent.

7. Limitation of liability

To the maximum extent permitted by law, Trinnovo Group Ltd shall not be liable for any indirect, incidental, consequential, or punitive damages arising from your use of the platform or reliance on AI generated content. Our total aggregate liability to you shall not exceed the fees paid by you to us in the three months preceding the event giving rise to the claim. Nothing in these terms limits our liability for fraud, fraudulent misrepresentation, or death or personal injury caused by our negligence.

8. Termination

Either party may terminate the agreement on 30 days written notice. We may suspend or terminate your account immediately if we have reasonable grounds to believe you are in material breach of these terms. On termination, you may request an export of your data. We will retain data in accordance with our Privacy Policy and then securely delete it.

9. Governing law

These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of the platform will be subject to the exclusive jurisdiction of the courts of England and Wales.
